Booking & RV handover process

Key steps for booking, pickup, and drop-off to ensure a smooth rental.

  • Understanding the RVezy rental agreement

RVezy's rental agreement streamlines the rental process for hosts and guests by outlining responsibilities and ensuring smooth inspections. Guests must verify their account and add approved drivers to access and sign the agreement, while hosts should complete it promptly after booking. Failure to sign may result in denied claims or forfeited deposits. Signed agreements can be downloaded as PDFs from booking documents. For support, users can contact RVezy's team.

  • Departure handover: What to expect

Successful RV handovers require clear communication and preparation. Hosts must specify pick-up/drop-off times, ensure the RV is clean with full fuel and checked tires, and provide towing equipment details. Only approved drivers can collect the RV. Both parties complete a departure inspection via the RVezy app, and hosts should conduct a thorough RV walkthrough. Guests should verify vehicle compatibility for towing.

Successful RV handovers rely on preparation and clear communication between hosts and guests. Here's how to navigate the key elements of the departure handover effectively.

    Time and location

Hosts can specify pick-up and drop-off times in their listing, which are also displayed in the booking details. Both parties must adhere to agreed times unless changes are mutually agreed upon. Hosts should inform guests of any fees for early pick-up or late drop-off upfront for transparency.

Guests can access the RV's location through the booking voucher available in the booking documents. Hosts are expected to communicate any changes in the RV's location in a timely manner.

    RV condition

Hosts are responsible for ensuring the RV is clean and ready, with full fuel and propane, empty waste tanks, and checked tires.

    Approved drivers

Only approved drivers can collect the RV. Ensure that the approved driver is present at handover to avoid delays.

    Departure inspection

Both parties must complete the departure inspection using the RVezy app. The inspection will note the RV's condition with photos, tank levels, and odometer readings.

    Comprehensive RV walkthrough

Hosts should conduct a thorough walkthrough with their guests, demonstrating essential RV features like tank management, generator use, and awning operation.

    Towing equipment

Hosts should provide details upfront about towing equipment and ensure guests have the correct gear for safe towing.

Guests should verify their vehicle's compatibility with the trailer's specs, including weight and hitch size. Consult the host for advice if uncertain.

By following these guidelines, hosts and guests can ensure a smooth and efficient handover process. For any questions or concerns, please contact our support team.

  • Return handover: What to expect

Returning an RV involves coordinated inspections, agreed return times, and clear communication for any booking changes. Guests must return the RV clean, with tanks emptied, propane filled, and fuel topped up per the rental agreement to avoid fees. After return, reviews are left within 7 days, security deposits released, and hosts can request additional fees within 30 days. Support is available for any concerns.

Returning an RV is a collaborative effort between hosts and guests, ensuring a seamless and trouble-free experience. This guide outlines the essential steps and responsibilities, helping you manage inspections, early returns, cleaning, and tank maintenance effectively.

    RV return and inspections

Both parties should agree on a specific time and place for the RV return inspection early on to avoid confusion or disagreements. Hosts can establish available times for pick-up and drop-off that guests will see in their booking details.

During the return inspection, both hosts and guests should assess the RV's condition. Proper documentation is vital to manage potential claims and protect against disputes.

    Early returns and booking adjustments

Guests opting to return the RV earlier than planned may request booking adjustments. Hosts can choose to refund unused nights, but they aren't obligated to do so. Use the Edit Booking feature for adjustments, ensuring clear written communication for mutual understanding.

    Guest responsibilities

The RV should be returned in the same condition as received in accordance with the rental agreement, unless agreed upon with the host in writing. This includes cleaning, emptying the black and gray water tanks, filling the propane tank(s), and refuelling the RV. Failure to do so may result in additional fees.

    Post-return procedures

After the return, both parties will have 7 days to leave a review. The guest's security deposit will also be released after 7 days. Hosts can request additional fees within 30 days if necessary.

  • How to complete the departure and return inspection

Completing departure and return inspections via the RVezy app is essential for documenting the RV's condition, verifying driver details, and recording fuel and usage readings. Inspections involve photo documentation and signing forms to ensure transparency and support dispute claims. Failure to complete inspections may lead to claim denial. Troubleshooting steps include verifying the rental agreement, updating the app, and contacting support if issues persist.

Completing the inspection form at the start and end of each rental is essential for documenting the RV's condition and ensuring transparency between hosts and guests.

  • Leaving a review after your booking

Hosts and guests can leave reviews within 7 days after a trip ends on RVezy. Reviews are submitted independently and revealed after both parties submit or the review period closes. Hosts rate guests overall and can respond publicly to reviews, while guests rate hosts in four categories and can add photos if rating 4 stars or above.

Once a trip has ended, hosts and guests will have the opportunity to leave a review about their experience. Reviews help other hosts and guests make informed decisions and gives helpful feedback to both parties. This article explains when you can leave a review, how the review process works, and what to keep in mind when sharing your experience.

When you can leave a review

You can leave a review once your booking is completed. Reviews must be submitted within 7 days of the trip end date. After the window has passed, you'll no longer be able to leave a review for that booking.

    How the review process works

Both guests and hosts are invited to leave reviews after a booking ends. Reviews are submitted independently and are not visible to the other party until the review period closes or both reviews are submitted. This helps ensure reviews are honest and unbiased.

Leaving a review as a host

To leave a review for your guest, access the booking in your RVezy account and click on the notification at the top of the page. You'll need to give an overall rating out of 5 stars as well as write a public review which will be shown on the guest's profile.

Once both you and the guest have left a review, you'll have the opportunity to reply to the guest's review for up to 3 days. To do so:

    • Open the booking details
    • Click on See full review at the top of the page
    • Click on Leave public response
    • Write your message and click Submit

Keep in mind that this response will be displayed on your RV listing.

Leaving a review as a guest

To leave a review for your host, access the booking in your RVezy account and click on the notification at the top of the page. You'll need to give a rating for 4 categories:

    • Accuracy: Compare the listing photos and description with the actual RV you rented.
    • Value: Rate if the overall RV rental was worth the amount you paid.
    • Cleanliness: Rate if the RV's cleanliness was up to standard.
    • Communication: Rate if the communication with the host was clear and prompt.

You'll then need to write a public review which will be shown on the host's listing. Optionally, you can leave a private note to the host with additional feedback or comments that you prefer to keep out of the public review.

If the overall rating of your review is 4 stars or more, you'll also have the option to attach photos from your trip. A maximum of 5 photos can be attached and the file size cannot exceed 1GB. These photos will be displayed on the host's listing and may also be used by RVezy in accordance with our privacy policy.

    Finding your reviews

To find your reviews as a host, go to your listing or head to the Insights page under the Reviews section. As a guest, your reviews can be found on your profile page by going to your account settings and clicking on Edit profile.

Leaving a thoughtful review helps strengthen the RVezy community and supports better experiences for everyone. Taking a few minutes to share your perspective can make a meaningful difference for future guests and hosts.
